The British Columbia Teachers' Federation (BCTF), located on the unceded ancestral territories of the xʷməθkʷəy̓əm, Səlil̓w̓ətaɬ/Selilwitulh, and Sḵwx̱wú7mesh Nations since 1917, is a union of professionals representing over 52,000 kindergarten to grade 12 public school teachers throughout the province of BC.

This is an in-person position based out of 550 West 6th Avenue, in Vancouver. 

The BCTF office building is situated in close proximity to the Canada Line and other major transit routes in a central Vancouver location. The BCTF provides an exceptional working environment for approximately 180 employees where respect, diversity, and professional growth are championed and valued.

Function and Purpose

The Professional and Social Issues Division (PSID) oversees programs and initiatives related to curriculum, education policy, professional development, teacher education, mentorship, and peer support. The Division co-ordinates provincial specialist associations (PSAs), social justice and Aboriginal Education programs, French programs, and leadership training events. PSID also administers the Code of Ethics, manages the Internal Mediation Service (IMS), and supports an extensive facilitator and teacher workshop training program.

The PSID Supervisor co-ordinates, supervises, and participates in the work of PSID staff, ensuring efficient divisional operations.

Principal duties and responsibilities

Supervision of PSID, including:

  1. Team management and leadership
    1. Supervises and supports the daily activities of team members to ensure performance standards and objectives are met.
    2. Leads by example and fosters an inclusive and respectful work environment.
    3. Conducts regular team meetings to communicate updates, goals, and expectations.
    4. Ensures all team members are providing excellent customer service and meeting member expectations.
  2. Performance management
    1. Monitors and evaluates the performance of team members through regular feedback and goal setting.
    2. Addresses performance issues by providing coaching or implementing improvement plans as necessary.
  3. Scheduling and work allocation
    1. Creates and manages work schedules to ensure that the team is adequately staffed and tasks are completed efficiently.
    2. Delegates tasks and responsibilities based on capacity and workload.
  4. Problem-solving and conflict resolution
    1. Addresses workplace issues, including conflicts or operational challenges, and assists to resolve them in a timely manner.
    2. Acts as the point of contact for team members to escalate concerns or problems they may be facing.
  5. Quality control and standards
    1. Creates manuals that provide the team with clear guidelines for completing work effectively, while ensuring compliance with organizational procedures, policies, and best practices to maintain high-quality standards.    
  6. Training and development
    1. Identifies training needs within the team and advocates for professional development opportunities.
    2. Ensures all team members are up to date on any new policies, procedures, or technologies.  
  7. Budgeting and cost control
    1. Collaborates with the PSID Director to monitor team expenses and work within budgetary constraints. 
  8. Motivation and team morale
    1. Organizes activities to strengthen relationships and improve teamwork.
  9. Health and safety
    1. Promotes and maintains a safe and healthy work environment for all supervised team members.
    2. Maintains a thorough understanding of applicable WorkSafeBC regulations and ensures full compliance, including the proper use of personal protective equipment (PPE), where required. 
    3. Ensures that all supervised employees are informed of any known workplace hazards and understand the associated safety precautions.
  10. Human resources (HR) support
    1. Collaborates and assists with HR-related tasks. 
  11. Summer Conference
    1. Oversees and co-ordinates all administrative functions required for the planning and delivery of the BCTF Summer Leadership Conference for approximately 550 participants, ensuring timelines, resources, and deliverables are met.
    2. In collaboration with the Teacher Staff Union (TSU) administrative staff, co-ordinates venue planning activities, including organizing site visits and assessing suitability for guest accommodations and all conference activities (meals, receptions, sessions, and plenaries); consults prior to finalizing recommendations and liaises with venues to prepare contracts, arrange signatures, and process deposits and final payments.
    3. In consultation with TSU administrative staff, ensures the preparation, accuracy, and distribution of conference documentation, including agendas, memos, and supporting materials, and confirms all required information is available to staff, delegates, and facilitators.
    4. Co-ordinates conference logistics, including catering, audiovisual (AV) services, entertainment, and on-site childcare; consults on workshop room assignments and arranges parking for special guests as required.
    5. Co-ordinates travel and accommodation arrangements, resolving booking issues and ensuring all arrangements are accurate, timely, and aligned with conference requirements.
    6. Liaises with the Graphics department to co-ordinate the production of conference program booklets, signage, and name tags, and oversees procurement of materials for registration and conference kits.
    7. Oversees the setup and administration of event registration platforms, including template design, session entry, surveys, and announcements, and ensures members are supported in using the platform.
    8. Co-ordinates on-site registration operations, including delegate check-in and distribution of materials, ensuring an efficient and welcoming registration process.
    9. Co-ordinates accessibility services, including booking in-person or remote closed captioners and liaising with internal and external AV technicians to ensure appropriate technology and support are in place.
  12. Other duties
    1. Assists PSID administrative staff in preparing and finalizing correspondence, communications, and documents by proofreading and formatting documents to ensure they align with BCTF Document Standards.
    2. backup to other PSID staff in the event of absences, heavy workload, and any challenging situations.
    3. Performs other related duties as required.

Required experience

  • Five (5) years of administrative experience with the Federation, or a similar institution.
  • Two (2) years of experience leading the planning and execution of large-scale meetings and events with 250+ attendees.
  • Two (2) years of experience working with Microsoft Excel at an intermediate level, including navigating large database systems and performing data manipulation.
  • One (1) year of experience supervising administrative or similar teams.

Required education/training

A Diploma in Event Planning, Business Administration, Communications, or a related discipline (minimum of 60 credits), or equivalent.
